Configuring your Custom Random Moment Sampling
Projects and Groups
The RMS service administrator creates and maintains the simple ExcelTM
templates and uploads the configured
project to the Internet.
The administrator can manage any number of RMS
projects simultaneously.
There are 4 main components to each project: Participant Cost Pools,
Activity Prompts, Email
and Phone Prompt Templates, and Scheduling Projects.
| Participant Cost Pools
|
This ExcelTM template
identifies the staff servicing the various programs. This group of staff
is often referred to as the participant cost pool - their costs are
going to be allocated according to their activity distribution.
Each
participant is identified by location, department, position and time zone.
Specific work schedules, planned off days, start dates and end dates can
entered.
The RMS service generates a random schedule taking into account
all the parameters provided. A portion of this template is shown above.

| Activity Prompts
|
|
The Activity Prompts ExcelTM
template
identifies the programs and activities the participating staff can
potentially be involved in. These activities are those against which costs
are allocated. Detailed descriptions can be attached to each activity and
made available to the participants at the point of data entry to insure
the correct activity is selected.
Links can be defined between tasks and sub tasks to speed data
collection, insure consistency and eliminate errors inherent in many
manual systems.
The RMS service supports from 1 to 8 activity levels. Opportunity
therefore exists to gather additional process related data that could be
used for internal performance improvement initiatives.

| Email
and Phone Prompt Templates
|
The
RMS service has many types of prompts (initial, validation,
reminder, supervisor reminder) and each is customized to contain
the information needed.
There
is a list of keywords to choose from (e.g. Project Name,
Participant First Name, Participant Last Name, Sample Time, Missed
Time, etc. to facilitate the creation of these messages.
If
you have configured the project to contain certain emails and
phone calls then they are listed as Required in the Email Template
list.
To add/edit the text, click on the template. You
may use straight text or html coded text (as shown below).

| Scheduling Projects
|
|
The RMS service administrator defines the project’s start and end
dates, required number of samples, projected miss rates,
audit and
validation percentages. The administrator also defines the type and
timing of all contacts with participants and supervisors.
The contacts can
include automated telephone calls, alert emails, reminder emails and
supervisor advisories if entries are not made as scheduled.

At the administrator’s request, the RMS service generates the full
contact schedule by combining the sampling period, prompt sequence, the
availability of the cost pool participants based on their work schedules
and the required number of samples for the project.
In seconds, the random
moments and all their associated contacts are calculated to the minute for
the entire period. This sampling schedule is available for immediate
review on line.
